Practice Automation: build the one tool you need

News Product News

Every practice we work with has one. A reconciliation someone runs by hand every month. A report rebuilt in a different format because the two systems involved don't talk to each other. A check nobody's automated because it never seemed big enough to justify a project.

None of these are XPLAN problems, and none of them are big enough to justify buying a platform. They're just the one task that quietly costs someone a few hours a week, every week, because nothing purpose-built exists for it and building it yourself was never going to be anyone's job.

We now build that tool.

What Practice Automation is

A small, purpose-built piece of software, scoped to the one task that's actually costing you time. Not a platform you configure and maintain. We build it, hand it over, and it's yours.

Sometimes that's a script that reconciles two systems overnight so nobody checks it by hand. Sometimes it's an AI-assisted first pass on a document review that used to take an afternoon. Sometimes it's neither, just a small bit of code that moves data from one place to another reliably, which turns out to be most of what people mean when they say they need "something automated."

We scope against the actual task, not a trend. AI where it earns its place. Plain automation where that's all it needs.

What it isn't

It isn't a platform rebuild, and it isn't us selling you a subscription to a generic tool you'll spend six months configuring to half-fit your workflow. It's the opposite: a fixed-price, defined build against one specific, recurring task, so you know the cost and the timeline before anything starts.

If what you actually need is a broader XPLAN consulting engagement or a workflow audit, we'll tell you that plainly and point you at XPLAN Workflow Optimisation instead. This is for the task that's real but too specific to be anyone else's product.

The kind of task this is built for

A few shapes we see often: data reconciliation between two systems that should agree and don't; a first-pass review of documents or files, flagging what actually needs a human look; a report manually rebuilt in a different format every cycle; status chasing across a dozen moving parts someone currently tracks in their head; intake triage that follows a pattern consistent enough to automate.

If your version doesn't match any of those, that's normal. Most don't, until you describe them to us plainly.

How it works

Tell us the task. We scope it, fixed-price, against what it actually is rather than an open-ended engagement. It runs, delivered into how your practice already works, and you stop doing it by hand. We support it afterwards the same way we support everything else we build.
